Printers are
logically grouped together with jobs sent to the printer in the group that
has:

number of jobs,

Next in a
group in a "round robin" style,

The
printer that will produce the job the quickest - the decision being
based on the pages per minute rating of each available device.
In all cases,
any decision made is reported back to the user by way of a status email. |
| Cost
reduction |
Move jobs away
from costly devices onto move effective printers. This is done based on:
>>
Colour.
If the job sent contains black and white text only, send the output
to a black and white machine. Otherwise, send to a colour device.
>>
Volume.
If the number of pages exceeds a threshold specified by the user,
move the job onto a second printer - one that has a lower volume
cost.
In all cases,
any decision made is reported back to the user by way of a status email. |
| Job
splitting |
Share
jobs across printers logically grouped together. The sharing can be done
by:
>>
Equal
share. Divide the pages equally across the printers. For
example, 9 pages to a group defined containing 3 printers gives 3
pages per printer; 10 pages to a group defined containing 3 printers
gives pages 1-3 to printer A, pages 4-6 to printer B and 7-10 to
printer C.
>>
Page
blocks. The user defines a page block (e.g. 50 pages). Then,
pages 1 - 50 go to printer A, pages 51-100 to printer B and so on.
After the last printer in the group has been sent its job, the first
printer is sent the next block.
>>
Document
set. A location on each page will be monitored for the document
number (e.g. invoice number). When this changes this marks the end
of a set. Each set is sent to the next printer defined in a group.
In all cases,
any decision made is reported back to the user by way of a status email. |
| Print
room |
Hold
all jobs printed ready for print room staff to schedule the printing.
Emails are sent on arrival to both the user and nominated print room
staff. Users are invited to preview the job, add additional job ticket
requests and set the job "authorised" for printing. Print room
staff can view the printer commands contained in the job and replace them
if necessary. Also can view the job ticket set by the user to see the
additional processing options required (e.g. lamination, binding, postage,
paper colour etc.). Notifications of successful printing is automatically
sent back to the user. |
| Auditing |
Job
information is stored in a job management database. This information,
includes the user submitting the job, the document name, the number
of pages and the printer used. Cost information can be defined in the
database for each printer and job ticket finishing requirements. Users can
be grouped together into departments/cost centers. Standard reports are
provided to find the cost of printing for an individual or department/cost
center. Printer costs can be added when incurred (e.g. rental, toner
changes, maintenance etc). This enables a printer report to be generated
showing the amount charged for printing together with the costs of
ownership.
Data stored in the database is kept to allow job history
to be displayed. This enables support staff to look for any print job and
see what processing was done, which printers were used and if there were
any errors.

| Secure
user printing |
Ensure that no confidential
documents are left lying on printers awaiting collection. There are two
styles of use:
>>
Secure
server. Jobs are stored on a secure server awaiting printing.
Secure client stations are run next to each printer requiring users
to walk to the printers, see the jobs held for them and print
them.
>>
Local
printer. On printing, a local printer list is consulted to see
which printer should be used for the user currently printing. This
allows jobs to always come out of the correct location even though
the user may move location day by day.
